How much time can you spend on a single task in a given day? It can be as little as three minutes, and after an interruption, it can take more than 25 minutes to get back on task. Pings from colleagues, Slack, or urgent requests mean less time to work overall. But one of the biggest time sucks on the job comes from context switching—or constantly toggling between tools—a known destroyer of high performance. The low-hanging fruit here is to sync and integrate daily meetings into your Trello workspace. And with Unito’s Google Calendar + Trello Two-Way Sync Power-Up integration, you can smooth out your workflow, stay on top of every meeting, and get more done.
Reduce the number of times you leave Trello to consult your Google Calendar and get more productivity out of your day.
The benefits of controlling your calendar in Trello
Meaningful team meetings are a necessity for team collaboration, but tool silos and context switching create frustration and waste everyone’s time. People in all roles can benefit from connecting their Google Calendar to a Trello board, and the benefits to the organization multiply across teams.
- Managers: If you’re in and out of meetings to check in on project status and connect with your colleagues, time lost switching between tools is multiplied across your entire team.
- Individual contributors: You offer the most value when you’re engaged in deep work. Whether you’re a marketing expert, a developer, a salesperson, or any other role, meetings can be a big drain on your productivity. You shouldn’t lose time checking and re-checking your schedule.
- C-Suite: Your day-to-day is packed with meetings, calls, and urgent requests that can completely shift the course of business. Wasted time through context switching can have massive repercussions to larger projects, deadlines, and initiatives.
Connect your Trello Boards and Google Calendars with Unito to optimize processes across your organization. It just takes a few minutes to set up, and you’ll reap immediate rewards.
How to connect Google Calendar to Trello
With Unito’s Google Calendar + Trello Two-Way Sync Power-Up, you can automatically sync meetings from Google Calendar to your Trello board. Check in on all of your meetings without leaving your Trello board, and update a meeting’s details right from Trello. Setup is fast, and the tool runs in the background to help keep you in sync and on track.
Step 1: Set up your Trello board
Create a board layout and design that works for you. Maybe you want all your meetings in a specific column to help you plan your day, your week, or your month.
Example of a Trello board with a list of meetings for today, this week, and this month.
Step 2: Add the Unito Power-Up to your Trello board
Navigate to the Trello board and the Google Calendar you want to connect. At the top of the Trello board, click the Power-Ups button, then Add Power-Ups. Search for Unito’s Google Calendar + Trello Two-Way Sync Power-Up and activate the Unito Power-Up. Then choose the tools you want to connect.
Use the Unito Power-Up to sync Google Calendar with any Trello board.
Note: You’ll have to give Unito permission to access your board and calendar.
Step 3: Choose two-way or one-way meeting sync
Default settings let you create new meetings or make changes to meetings either from Trello or your Google Calendar, and those changes update in both locations. But if you prefer it, meeting updates can appear only as a one-way flow from Google Calendar to Trello.
Control the flow of calendar syncs between your Google Calendar and your Trello board.
Step 4: Create rules and filters
Get granular and set up rules that filter out the meetings you don’t want synced to your board. Say you don’t want a weekly recurring All Hands meeting to show up in Trello. If that meeting is a different color, like purple, or has a specific tag, like All Hands, you could set up your flow to exclude them.
Automate syncs or exclude meetings by tag or by color to streamline and unclutter your meeting schedule.
Step 5: Map fields to share information in the right place
Map guests, start date, meeting name, or any other field in Google Calendar to its corresponding field in Trello (such as the card description box or Custom Fields). Customize where you want the information from your meetings to land in Trello.
Customize your meeting sync to map just the information you want to see, where you want to see it.
Once that’s done, sit back and launch your flow toward more meaningful meetings. Watch as your Google Calendar meetings are automatically synced to your Trello board! And say goodbye to wasting time toggling back-and-forth between tools.
